How to choose inventory software in Pakistan (2026 buyer’s guide)

A practical checklist for Pakistani retailers and wholesalers: costing method, POS, barcodes, ledgers, hosting, and what CountOS includes before you buy.

Most Pakistani shops do not fail because they lack a computer. They fail because stock, sales, and udhaar live in three different places: a POS app that only prints receipts, an Excel sheet that nobody trusts, and a register that only the owner can read. The right inventory software closes that gap. This guide is the checklist we use at ZIIBAY SOFT when a retailer, wholesaler, or distributor asks whether CountOS is the right fit.

Start with the job, not the feature list

Before you compare brands, write down the daily jobs that lose money today:

  • Counter staff cannot see live stock, so they sell items that are already out.
  • Purchase invoices update a supplier notebook, but not the product cost.
  • The owner asks “kitna faida hua?” and the answer takes two days.
  • Low-stock items are discovered only when a customer walks out.
  • Accountants re-type sales into another system at month end.

Software that only speeds up billing will not fix those jobs. You need a system that posts stock, cost, and party balances from the same document.

The six questions that actually matter

1. How does it cost stock?

In Pakistan, the same SKU often arrives at three different purchase prices in one month. If the software overwrites opening stock or uses “last price” as cost, your profit report is fiction. Ask whether inbound goods update a weighted-average cost, and whether every stock change is a ledger line — not a number someone can type over. CountOS does both. We wrote a full explainer in weighted-average costing for wholesalers.

2. Is POS connected to inventory, or bolted on?

A standalone cash register can print a receipt and still leave stock wrong. The test is simple: scan a barcode, take cash or credit, and ask what happened to quantity on hand, COGS, and the customer balance. In CountOS, a posted POS sale does all three. See POS vs inventory software if you are deciding whether a billing app is enough.

3. Can you print barcodes and import Excel?

Most shops already have a product list in Excel. If migration means typing 2,000 SKUs by hand, the project dies. Demand CSV import for products, customers, and suppliers, plus printable shelf labels. CountOS includes both, and on the monthly plan the Rs 5,000 onboarding fee covers listing your products for you.

4. Do customer and supplier ledgers replace the register?

Udhaar is not optional in wholesale. You need a running balance, a printable statement between two dates, and receipts that reduce what the party owes. If the vendor says “export to accounting software later,” you will keep the notebook.

5. Who can see what?

A cashier should not edit purchase prices. An accountant should not need the warehouse password. CountOS ships seven roles — Super Admin, Admin, Inventory, Purchase, Sales, Accountant, Viewer — with per-module permissions and an audit log of who changed what.

6. What does it cost in PKR, and who trains your staff?

Imported SaaS priced in dollars looks cheap until support is a ticket queue in another timezone. CountOS is priced two ways: a lifetime license at Rs 125,000 paid once, with the first month of service free and staff training included, or a monthly plan from Rs 3,000–5,000 plus a one-time Rs 5,000 onboarding fee for small shops that want to start small. Local WhatsApp support either way. Compare modules on our pricing page.

A one-hour demo script (steal this)

  1. Open the dashboard. Ask for inventory value, today’s sales, receivables, and low-stock count.
  2. Scan a product on POS. Complete a cash sale. Confirm stock dropped and a receipt printed.
  3. Receive a purchase. Confirm average cost moved and the supplier balance increased.
  4. Open a customer ledger and print a statement.
  5. Run sales-by-product and stock-on-hand reports, then export CSV.
  6. Log in as Sales and as Accountant. Confirm each role sees only what it should.

If a vendor cannot do that live, you are buying a brochure.

When CountOS is the right choice

CountOS fits single-location and growing multi-user businesses that need inventory plus light accounts — not a full ERP with manufacturing MRP. Typical buyers:

  • Retail shops moving off a basic POS.
  • Wholesalers who live on party ledgers and weighted-average cost.
  • Distributors who need purchase orders, GRN, and outstanding purchase reports.
  • Small manufacturers tracking finished-goods stock and material purchases.

If you need factory-floor routing or payroll, say so in the demo — we will tell you honestly where CountOS stops.

Next step

Bring your current Excel or a photo of your register. We map it to modules so you only pay for what you will use. Request a free demo or WhatsApp 03068880169.
