POS vs inventory software: what Pakistani shops actually need
A cash register is not a stock system. Learn when a shop outgrows a standalone POS and needs stock ledger, purchases, and party balances in one platform.

“We already have POS” is the sentence we hear most. Often it means a billing screen that prints a thermal slip and, if you are lucky, stores a daily total. That is a cash register with a screen. Inventory software is a different job: it must leave stock, cost, and party balances correct after the customer has left.
What a POS actually does
Point of sale is the counter workflow:
- Find the item (barcode scan or search).
- Set qty, discount, and tax.
- Take cash, bank, or a mix.
- Print a receipt in seconds.
- Optionally put the sale on a named customer’s credit.
If that is all you need — a single cashier, cash only, 200 SKUs, owner standing at the counter — a cheap POS may be enough. The break point is when someone else must buy, count, or collect.
What inventory software adds
Inventory software owns the life of the SKU before and after the beep:
- Product master: SKU, barcode, units, cost, sell price.
- Stock ledger: every in and out, with valuation.
- Purchases: PO, GRN, returns, supplier payable.
- Sales documents: invoices, quotes, returns, pick lists.
- Party ledgers and cashbook.
- Roles so the cashier cannot change purchase price.
CountOS includes a fast POS and those modules in one database. There is no nightly “sync” that can fail on a Sunday.

A decision table for shop owners
| If this is true… | You can stay on POS-only | You need inventory + POS |
|---|---|---|
| One person sells and buys | Maybe | — |
| Staff sell while you are at the market | — | Yes |
| Suppliers give credit; you give credit | — | Yes |
| You need margin by product | — | Yes |
| You reprint last week’s supplier statement | — | Yes |
| You only need a daily cash total | Yes | — |
The failure mode we see every month
A shop buys a popular POS. Sales look modern. Purchases stay in WhatsApp bills. After 90 days the owner compares “software sales” to cash in the drawer and they do not match — because returns, shop-use, and credit were never stock movements. The staff then stop trusting the screen and go back to the register. The subscription keeps billing.
The fix is not another POS. It is one posting engine. In CountOS, POS sale, POS purchase, invoice, GRN, adjustment, and return all write the same stock ledger.
What to demand in a live demo
- Scan an item as a guest (walk-in) cash sale. Confirm stock drops.
- Repeat as a named customer on credit. Confirm receivable increases.
- Receive the same item from a supplier. Confirm average cost and payable move.
- Ask a sales-only login to open Settings. It should fail.
